ToggleOverview ๐
In this video, I will go over the updated version of my project management system using Notion. The original video on this topic was created in March 2020, and since then, Notion has released numerous updates that have changed the way things are done. This video will focus on recreating the project management system and adding new features.
Why Notion? ๐
Notion is a versatile tool that can help organize your life, both personally and professionally. It can be as simple or as complex as you need it to be, making it suitable for simple note-taking as well as more comprehensive project management.
Creating the Database ๐
The first step in our project management system is to create a database within Notion. We will name it "Projects" and include important information such as project names and due dates. Additionally, we will create a separate database for tasks, which will be the to-do items needed to complete a project.
Field | Purpose |
---|---|
Project Name | Identify the project |
Due Date | Schedule project completion |
Tasks | To-do items for the project |
Setting Up Tasks and Relations โ
Each task will be linked to a specific project and will have its own start and end dates. Notion’s updated features allow us to streamline this process by utilizing a single date field for both the start and end dates. Additionally, a relation will be created to link tasks back to their respective projects.
Creating Dashboards and Views ๐
To better visualize the current tasks and project progress, we will create dashboard views within Notion. This will allow us to monitor the progress of ongoing tasks and gain an overview of all the active projects.
View | Purpose |
---|---|
Current Tasks | Display tasks due today |
Project Progress | Monitor completed tasks |
Advanced Formulas and Formatting ๐งฎ
Notion’s advanced formulas and formatting options allow us to create visual indicators for past-due tasks and current projects. Using conditional formatting and nested if statements, we can add visual cues to easily distinguish between different task statuses.
Customizing Navigation and Layout ๐ผ๏ธ
Aside from managing the tasks and projects, we will also customize the navigation and layout within Notion. This involves linking databases, creating calendar views, and designing a clean, user-friendly dashboard for easy access to project-related information.
Conclusion & Future Enhancements ๐
